I do appreciate you taking the time to make me aware of the issue. This morning I pulled up your email correspondence with Shaun and I spoke to the sales consultant that you spoke to over the phone. We regret that our vehicle was no longer available by the time you called to verify the appointment. Shaun would have called you immediately after the vehicle was sold but he happened to be with another customer at the time. We already have plans to install a new computer system next month in an effort to improve our communication system and help avoid these situations. Thank you for your response. I did feel as though I was getting a brush off. (Follow the timeline here) The person I spoke with on the phone at 1:10pm first asked me if I was from vt?(don't you find that odd?) THEN told me that the vehicle was sold the night before. The email from Shaun was sent at 9:26am saying it was still avail. After getting home 9:00pm ish I went to your website,and the listing was still there. All this combined to left me feeling pretty unhappy. Also there was no follow up email to let me know anything.

Hello Joyce, In response to your concerns I would first like to explain why these things happened. Without an automated system in our dealership information tends to travel in pieces throughout the day. The sales consultant that you spoke to on the phone was aware that Shaun had someone from VT coming down to look at the Highlander but did not know your name, number, or when you were to arrive. They also knew that the Highlander was sold, but not by who or when. With only the information the sales consultant had pieced together they elected to ask if you were from VT so that they could inform Shaun of your call. With that being said, I do feel that they could have handled the phone call much more professionally. The Highlander was actually sold that morning, not the previous night as the sales consultant had stated. The listings on the website are not “live”; it takes 24 to 48 hours for a sold vehicle to come off the site or for a fresh vehicle to get up on the site. The bottom line is that we could have handled this in a much more professional manner. Your business is very important to us and yet we managed to do a great job of making you feel otherwise. We lost your trust when we failed to keep an open line of communication. As a growing business our increase in sales is outpacing the adjustments to our internal controls. It is my responsibility to develop and implement these controls to ensure that both our customers and prospective customers are treated fairly and professionally without exception. In this case I failed to do so. We work very hard to get people to come to Gale Toyota from all over the country, so your opinion is of great concern to us.
